Academy Travel Service Inc. (“the Company”, “we”, “our”, or “us”) is a licensed travel agency operating in Ontario, Canada. By booking any travel service with us, you acknowledge and agree to the terms set out in this Cancellation & Refund Policy.
1. General Terms

All bookings are subject to the cancellation, refund, and amendment policies of the third-party service providers (such as airlines, hotels, and tour operators). The Company acts as an intermediary and is not liable for decisions, penalties, or restrictions imposed by these suppliers.

Non-refundable deposits and service fees paid to the Company are always non-refundable, regardless of the circumstances.
2. Traveler Cancellations

More than 30 days before departure: Refunds may be available, subject to supplier terms and non-refundable deposits. Administrative/service fees charged by the Company are non-refundable.

15–29 days before departure: Up to 50% refund of the total booking, less non-refundable deposits, supplier penalties, and service fees.

14 days or less before departure or no-show: No refund will be provided.
3. Company Cancellations

If the Company must cancel a tour or service due to insufficient participation or operational issues, we will offer either:

A credit towards a future booking, or
-
A refund of amounts paid directly to us, excluding non-refundable deposits or supplier charges already incurred.

The Company is not responsible for independent arrangements (such as separately purchased flights, visas, or accommodations).
4. Force Majeure

The Company is not liable for cancellations, delays, or changes caused by circumstances beyond our control (including natural disasters, pandemics, strikes, airline schedule changes, or government regulations).

In such cases, any refund will be strictly limited to the amount refunded by the relevant suppliers, less non-refundable fees.
5. Refund Process

Refund requests must be submitted in writing to contact@academytravels.com.

Refunds will only be processed after receiving confirmation from suppliers, which may take longer than 14 business days.

The Company cannot control the timing of funds being returned by banks or credit card companies.
6. Non-Refundable Services
The following are strictly non-refundable once booked:

Agency service fees and deposits

Airline tickets issued as non-refundable fares

Visa and consular fees
-
Travel insurance premiums
-
Tailor-made/custom arrangements
-
Any supplier-designated non-refundable services
7. Traveler Responsibility

It is the traveler’s sole responsibility to ensure valid travel documents, visas, health/vaccination requirements, and compliance with entry rules.

Failure to meet these requirements will not entitle the traveler to any refund.
8. Amendments & Changes

Any changes to bookings (dates, names, services) are subject to supplier approval and may incur additional fees.

The Company reserves the right to charge an administrative fee for processing changes, in addition to supplier penalties.

9. Limitation of Liability

The Company acts as an agent between the traveler and third-party suppliers. We are not liable for the acts, omissions, or failures of these suppliers.

Our liability is limited to the amounts paid directly to the Company, excluding service fees and non-refundable deposits.
10.Compliance with Canadian Consumer Protection Laws
Academy Travels operates in full compliance with Canadian consumer protection regulations, including the Ontario Travel Industry Act and guidelines set by the Travel Industry Council of Ontario (TICO). Customers are entitled to request clarification of their refund rights under these regulations at any time.
11.Travel Services and Tour Packages Cancellation
For tour packages and travel-related services, cancellation and refund terms may differ depending on airline, hotel, and local partner policies. Academy Travels will inform customers of the applicable conditions at the time of booking. Certain services, such as flights or non-refundable hotel rates, may not be eligible for a full refund.
12.Industry Accreditation and Compliance
Academy Travels is a licensed and accredited travel agency in Ontario, Canada.
We are proudly accredited by the Travel Industry Council of Ontario (TICO) and the International Air Transport Association (IATA). These accreditations ensure that all travel services, including flights, accommodations, and tour packages, are managed according to the highest international standards of safety, reliability, and consumer protection.
