Travel Terms & Conditions

Reservation & Payment
All bookings are confirmed only upon receipt of full payment. Full payment must be made at the time of reservation. Without full payment, no services will be secured. The Agency does not accept partial payments or deposits. Reservations are considered final only when payment has been received and confirmed by the Agency.


Cancellation & Refund Policy
Cancellations must be submitted in writing and are subject to the following schedule of cancellation fees:
• 50 days or more prior to departure: Full refund minus an administration fee of CAD $250 per person.
• 30 days or less prior to departure: 100% of the total package price will be retained.
• No-shows or same-day cancellations: No refund will be issued.


Changes & Revisions
Any changes requested 50 days or more prior to departure are subject to a CAD $100 per person service fee, plus any charges imposed by suppliers. Any changes requested within 49 days of departure will be treated as cancellations and rebookings, and the applicable cancellation fees will apply.


Not Included
Unless otherwise specified in the itinerary, the following are not included in the package price: travel or medical insurance, visas, porterage, gratuities, beverages during meals, optional excursions, laundry, telephone calls, minibar, and other personal expenses. Travelers are strongly advised to purchase travel insurance to cover unforeseen cancellations, medical emergencies, or baggage loss.


Responsibility & Liability
The Agency acts solely as an intermediary between travelers and independent service providers such as airlines, hotels, transport operators, and excursion providers. The Agency does not own or control these suppliers and shall not be held liable for their acts, omissions, delays, cancellations, or failures to perform. Travelers agree to release the Agency from any claims arising from the acts or omissions of service providers. 
Travelers are solely responsible for ensuring that they have valid passports, visas, permits, vaccinations, and all other required travel documents. The Agency shall not be held liable for costs incurred due to incomplete or invalid documentation.


Force Majeure
The Agency shall not be held responsible or liable for any loss, damage, or delay resulting from events beyond its reasonable control, including but not limited to natural disasters, pandemics, strikes, government restrictions, political unrest, or other force majeure events. In such cases, the Agency will make every effort to provide suitable alternatives or issue a future travel credit. Cash refunds in such cases remain at the sole discretion of the Agency.


Special Needs & Participation Requirements
Any special needs or requirements must be disclosed at the time of reservation. The Agency will make reasonable efforts to accommodate such needs, but cannot guarantee availability of special services or facilities. The Agency is not responsible for the denial of services by suppliers due to disability or special requirements.


Documentation
It is the sole responsibility of travelers to obtain and carry proper and valid travel documentation, including passports, visas, permits, and vaccination certificates. Passports must be valid for at least six (6) months beyond the date of return. Travelers who fail to obtain proper documentation may be denied boarding or entry, and no refunds will be issued in such cases.


Baggage
Baggage allowances are subject to the policies of the airline or transport provider. Excess baggage fees are the responsibility of the traveler. The Agency shall not be held responsible for loss, damage, or delay of baggage. Travelers are encouraged to obtain baggage insurance.


Insurance
Travel and medical insurance are not included in the package price. The Agency strongly recommends that travelers purchase comprehensive insurance coverage to protect against cancellation penalties, medical emergencies, accident, illness, or baggage loss. The Agency assumes no responsibility for travelers who fail to obtain adequate insurance coverage.


Governing Law & Jurisdiction
These Terms & Conditions are governed by and construed in accordance with the laws of the Province of Ontario, Canada. Any disputes arising out of or in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Ontario.

 

Accreditation & Compliance

Academy Travels is fully accredited by the Travel Industry Council of Ontario (TICO) and the International Air Transport Association (IATA). These accreditations ensure that all our travel services, including flights, accommodations, and packages, are managed according to the highest international standards of reliability, safety, and consumer protection.
